Managers

Thank you for volunteering to be a team manager for your team this season! All team managers MUST register as a volunteer with USA hockey, complete a background check, and complete Safe Sport training. These requirements must be completed prior to the start of the season.

Manager Responsibilities

Team managers are an integral part of a team's hockey season running smoothly. This page serves as a guide to the responsibilities of a team manager and includes a checklist of duties.

Jerseys

Team managers are responsible for picking up team jerseys at the beginning of each season. Managers will arrange a time with the GFYHA office to pick up team game jerseys, practice jerseys, backpack (which includes the team scorebook, first-aid kit, and miscellaneous items), and team puck bag. Managers will then coordinate with the coaches to arrange a team meeting where jersey check-out will take place. A jersey check-out sheet will be attached to the bins that the jerseys come in and is to be filled out by the manager as players check out their jerseys and practice jerseys. Once this is filled out, managers need to provide a copy of this form via email or text to the GFYHA office.

At the end of the season, managers are responsible for collecting jerseys and practice jerseys. Jerseys, practice jerseys, backpacks, and puck bags are then returned back to the GFYHA offices in a timely manner.

Roster Stickers & Helmet Stickers

Once your team has completed jersey check-out, your numbered roster should be in place. After the GFYHA office has received your jersey check-out sheet with your finalized roster, roster stickers can be made for your team. These stickers are used for games where a paper scoresheet is being used. You will not need to provide stickers for games or tournaments where the Gamesheets app is being used. The GFYHA office is happy to provide and print these stickers for teams. If you are running low on roster stickers, please notify the office (kmoreland@gfyha.com) before you are completely out and more stickers will be printed for you. You can also print your own roster stickers if you prefer. The template is provided below. The roster sticker template is designed to be used with Avery 2"x4" shipping labels (template #5963).

Helmet stickers can also be picked up at the GFYHA office. Each player will receive two Aviators logo stickers, one placed on the right side of the helmet and the other on the left. They will also receive a jersey number sticker to be placed on the back of the helmet. All other stickers must be removed for the duration of the season. Players must follow the placement guidelines for helmet stickers.

Team Page

Your team page is where you will share any important information that is pertinent to your team such as hotel reservation information, changes to your schedule, team events, dryland training, etc. Managers and coaches are given administrative privileges for their team page which enables them to edit the information available. Once your team has been made, managers are encouraged to add jersey numbers, player pictures, and a team photo to the team page. We ask that managers do not edit any player information such as last names.

Verifying Schedules

While we do our best to ensure that schedules are complete and accurate, inconsistencies and errors can happen. Managers are asked to be another set of eyes for game schedules to try catch any mistakes that might happen. Managers should be visiting the websites of opposing teams throughout the season to ensure that their game schedule matches the dates, times, and locations of the opponent's team page. If an error is found, please contact the GFYHA office (blucke@gfyha.com or kmoreland@gfyha.com) as soon as possible.

Arranging Box Workers for Home Games

Parents are required to be box workers for all non-tournament home games for their child's team. A minimum of two box workers is required (one person to run the clock and one to fill out the scoresheet). Teams may elect to have additional workers for music and penalty box doors if they choose. Managers should create a Sign-up Genius (or any other comparable volunteering program) at the beginning of their season so that parents can sign up for shifts. Parents should be informed that if they are unable to attend a shift that they had signed up for, it is their responsibility to arrange someone to cover that shift. If you are having trouble getting parents to sign-up for shifts, please contact the GFYHA office.

League Games

Results of league games need to be reported to NDAHA. Team managers will be provided with the email for the NDAHA representative for their age group at the start of the season. Managers will email these game sheets to their representative in a timely manner following home league games. If you are unsure if a game is a league game, you can check the NDAHA website under the schedule for your division. Scoresheets should then be turned into the GFYHA offices.

Tournaments

When your team is participating in a tournament, managers are often a point of contact for any information that the tournament requires. Managers are asked to complete any information requested by tournaments completely and in a timely manner. Managers should also communicate any tournament rules, instructions, or schedules that tournament sends them to their team parents and coaches prior to the tournament. You will need to provide each tournament with the link to your USA Hockey approved roster (this will be sent to each team manger at the beginning of your season). If tournaments require teams to check in, managers or head coaches will need to do so for their teams.

Squirt/10U Team Managers: The Fargo International tournaments include pin trading for participants. Managers are responsible for collecting the information on pin orders for their team and collecting the money for the order. After the order is received, team managers will pick up the pins from the GFYHA office, then sort and distribute them. Each player is required to purchase 5 pins to trade with opponent teams in the tournament. Additional pins can be purchased to trade as well. Managers must ensure that the pins that are to be traded with opposing teams are provided to the opponent team’s manager at the tournament.
